SES.HOSPEDAJES: full guide and integration

What is SES.HOSPEDAJES?

In Spain, every tourist accommodation is required to register guests through SES.HOSPEDAJES — the new unified platform that replaces older systems like Hospederías (Guardia Civil) and WebPol/E-HOTEL (National Police). This is mandatory under Royal Decree 933/2021. It’s been in force for a while, but in case it catches you by surprise: every tourism establishment must use the SES.HOSPEDAJES platform to register and report guest data. The goal is to unify and simplify legal compliance, while also providing better monitoring of traveller movements and more information about their reservations. The industry has raised concerns asking to delay or avoid this change, but so far no official communication has come out beyond confirming the regulation takes effect as scheduled. Key changes

1. New required data: SES.HOSPEDAJES asks for some additional data, which Roomdoo handles smoothly through its check-in wizard, with the same workflow you’re used to. Alongside traveller registration, it’s now mandatory to report upcoming reservations too. 2. Only mandatory data is sent: Roomdoo only sends the data the regulation requires. Information like payment method or payment date — which is optional — won’t be reported. The aim is to share only what’s strictly required, preserving confidentiality. 3. Every traveller is registered, including minors:
  • All travellers, regardless of age, must be registered.
  • Adults must complete every field and sign (physically or digitally).
  • Young people between 14 and 18 must record their data and the relationship with the responsible adult.
  • Children under 14 don’t need to provide their ID number, but the relationship and the rest of the data are required.

You need to register your accommodation in SES.HOSPEDAJES to enable the Roomdoo integration and automation.

Open this link to register as a hospitality establishment in SES.HOSPEDAJES. Click on the procedure “Acceso al registro de establecimientos y entidades” to start your registration on the platform. You’ll need either a digital certificate from the establishment’s legal entity or to be enrolled in cl@ve. Crucially: during the process, make sure you tick the “Envío de comunicaciones por servicio web” (Send communications via web service) option to enable the automated communication Roomdoo will use.

Once done, you’ll receive an email from the Ministry with your registration number, host code, and establishment code, plus the username and password for the web communications service. Please send those details to soporte@roomdoo.com so we can configure the system correctly.
