Speed up data capture with the document scanner and let it fill every required field automatically. Roomdoo’s automatic document scanner is a powerful tool for daily check-in operations, completing all the data required by the authorities for each guest. It works with:

You can scan guest IDs automatically using the new OCR-powered document scanner. The feature is built to save time and reduce manual data entry during check-in. The option appears when you start the process with the “Check-in wizard”, under the name “Scan document”.

How to use the Roomdoo document scanner

It’s easier to do than to describe, but here’s the full step-by-step: 1. Once the check-in process has started, in the wizard’s data-entry options, choose “Scan document”. 2. Allow camera access:
The first time you use this feature, the browser asks for permission to use the device’s camera. Accept by choosing “Allow on every visit” or “Always allow”.

3. Scan the document:
  • Scan the front of the document, fitting it within the on-screen frame. When it’s lined up, click “Take photo”.

  • Confirm the image is legible; if not, “Retry” with a new capture.
  • Always scan the back of the document if it has one. For documents without a back, such as passports, skip the step using “Document without back side”.

4. Verify and correct the data:
  • Click “Scan data” to start the automatic reading process. It can take a few seconds.
  • When the read is done, every captured field is filled in automatically in the form.
  • Check that every field read is correct.
  • Correct or complete any required field that’s missing.

5. Wrap up: After reviewing, click “Save” or “Mark arrival” if it’s the check-in day and the guest is arriving, to finish the process.

If you use a computer with a webcam, follow these steps:
  1. Choose “Scan document” in the check-in wizard.
  2. Allow access to the computer’s camera.
  3. Hold the document in front of the webcam and frame it properly.
  4. Click “Take photo” to capture the image.
  5. Repeat for the back side if needed.

If you prefer your phone to scan documents:
  1. Choose “Scan document” in the check-in wizard from your mobile browser.
  2. Allow access to the phone’s camera.
  3. Hold the document in front of the camera and frame it properly.
  4. Tap the capture button to take the photo.
  5. Repeat for the back side if needed.

Privacy and ID document handling

Worth noting: the Roomdoo document scanner doesn’t store the captured images. They’re used only to extract the data required to map to the fields the authorities ask for. This way, check-in is faster and more secure for everyone.

Tips for the most accurate captures

To make sure your scans are as good as they can be, follow these tips:
  • Good resolution: make sure the camera has enough resolution to capture every detail of the document legibly.
  • Frame correctly: place the document within the on-screen safety margins so all the information is captured.
  • Good lighting: use proper lighting to avoid shadows and make sure every detail is visible.
  • No glare: keep the document free of glare or reflections that could obscure the data.

Common questions and errors

Which devices can I scan from?

Any device with a camera and an internet connection. You can sign into Roomdoo from any internet-connected device that has a camera built in:
  • Desktop computers with a webcam.
  • Laptops with a built-in webcam.
  • Tablets with a camera.
  • Smartphones with a camera.

What if my computer’s camera isn’t good enough?

If your computer doesn’t have a usable camera, use a phone or tablet for the scan instead. This feature works on PC, Mac, smartphones, and tablets.

Remove the privacy cover from the camera

Check whether the camera has a privacy cover you need to slide off manually. These covers — for instance Lenovo’s TrueBlock — usually slide or move to one side to uncover the camera. Examples of privacy covers:

If it’s not a privacy-cover issue, it could be a hardware fault. Try opening the camera in another app — Google Meet or any video-call tool. If it doesn’t work there either, get in touch with your IT team for a deeper look.
