# Change the number of guests (pax) on a reservation

> How to modify how many guests are on a reservation without losing the data of the ones already registered.

## How to change the guest count

  <Step title="Open the reservation">
    Find the reservation where you want to change the guest count.

  <Step title="Reservation tab → Guests">
    In the reservation detail, go to the **Reservation** tab and the **Guests** section.

  <Step title="Three dots → Change guest count">
    Click the **three dots** and pick **Change guest count**. Adjust the number and save. If the rate or breakfast are per-person, Roomdoo recalculates the price.

<Tip>
  Guests who already have a filled record are kept. The new slots stay empty for you to fill on arrival.

## If the room won't take more guests (limit reached)

If the room's configured maximum capacity doesn't allow the new number, the system blocks it. In that case the **room configuration needs adjusting**, and that's done by our team. Contact support.

## Reduce the number of guests

If you're reducing, keep in mind:

* If there are guests with complete records, decide which one(s) to leave out.
* If the rate is per-person, the price may drop — check the reduction applies as expected.
* If you've already checked in more guests than the new count, undo the check-in first.

## When the system won't allow it

    Not possible — capacity is limited by configuration (legal, licensing). You have two options:

    * Move the reservation to a higher-capacity room
    * Add an extra bed (if the room's limit allows it). See [Add an extra bed](/en/settings/extra-bed).

  <Accordion title="It errors out when I change the number">
    Possible causes:

    * The reservation is locked (OTA) and doesn't accept changes
    * There are attached services that depend on the guest count and don't recalculate automatically
    * The reservation is invoiced and the change would affect the invoice

    Contact support with the booking reference and screenshot.

  <Accordion title="The change saved but the price wasn't adjusted">
    Some rates are per-room (not per-person) and that's why they don't change. If you expected a price change, review the applied rate or adjust manually.

## When to contact support

* You need to exceed the room's **maximum capacity**.
* There's an **error** when changing the count and you can't find the cause.
* The reservation is **invoiced** and the change would affect the invoice.
